Define the exact vehicle
Record the VIN or chassis number, model year, derivative, destination market, factory specification and material modifications. Photographs should show identification points, exterior, interior, engine compartment, mileage and important options or accessories.
A generic model description can miss value differences created by specification, provenance or restoration quality. The insurance file should identify the actual car without relying on the policy declaration alone.
Document present condition and history
Keep dated photographs, inspection reports, service invoices, restoration records and provenance materials in a stable file. Separate original documents from reproductions and seller representations from independently verified facts.
Update the record after material service, damage, restoration or modification. A valuation prepared before significant work may no longer describe the vehicle being insured.
Use market evidence carefully
Collect recent, closely matched completed sales where available and identify whether reported figures include buyer premiums. Explain meaningful differences in mileage, condition, specification, history and transaction date.
Asking prices and exceptional auction results can provide context but should not be presented as ordinary market proof. For rare or materially valuable cars, a qualified independent appraisal may be appropriate.
Review coverage beyond the headline value
Agreed value, stated value and actual cash value are not interchangeable concepts. Discuss policy wording, deductibles, usage, storage, transport, spare parts, newly acquired vehicles and repair options directly with a licensed insurance professional.
Revisit the file at renewal and after a material market or condition change. The objective is a current, supportable record that helps the owner and insurer understand both the car and the requested protection.
Specifications and market conditions change. Confirm model-specific details and complete independent due diligence before any transaction.
